OmniRota is a rules based system. That means that the rules relating to your surgery’s staff, session types and shifts need only be entered once when the software is set up for you. After that, every rota that you create is generated automatically by the system ensuring that all of your criteria are satisfied and all of your staff are treated fairly. In this way it is possible to create a rota, even for a large surgery with a complicated rota, in a matter of minutes.
There is an initial fee which covers the set up of the software, the base price of which is £150 per doctor up to £200 with room bookings. On an ongoing basis there is a monthly fee from £5 per doctor which covers the software licence, technical support, UK hosting and data storage.
Other staff can also be added and are priced proportionately less, provided their rotas are less complex than the doctors – usually £100 per person for other clinical staff and £75 per person for the set up of non-clinical staff. These prices are a guide only as, for example, particularly complex reception rotas can be very time consuming to code so would be priced in line with the rates for doctors above. Monthly fee is £3 per person monthly.

When you contact us, we will normally arrange a time to show you an online demo of the software during which you can ask questions about how OmniRota will cope with any aspects of your surgery rota. We will then take you through the completion of our data wizard which we use to collect the information necessary to produce your first rota.
Once this has been completed, we will programme the software with your practice rules and produce your first rota. Once you are happy with this rota you will have 30 days to try using the software with your own data.
At the end of this period you may elect to pay to continue using the software or walk away in which case you will owe nothing.
We have designed the data wizard to minimise the length of time it will take you to provide us with all the data that we need. Obviously, the length of time it takes depends upon the size and complexity of your surgery rota, but you could provide all the data for a small and relatively simple rota in as little as 10 minutes. A larger more complex rota will take longer but we are always on hand to help if you get stuck. When we take you through the wizard, it is fairly easy to judge for yourself how long the data entry will take, and once completed, we can usually get a first draft back to you within a couple of days.
The aim of OmniRota is to minimise the burden of administration. On a day to day basis you will need to keep on top of staff leave requests – OmniRota includes a full leave management tool – and any immediate changes to staff working. As required, changes to staff will need to be entered into the system as will any permanent changes to the working patterns of existing staff.
The only people who can access your system are those to whom you have issued a login ID and password. Generally, all of the staff on the rota will receive a ‘Staff Member’ ID whist those responsible for managing the rota will be ‘Rota Administrators’. The administrators have full access to edit the rota where as Staff Members are restricted to read only access to the rota.
Absolutely. Most of the best updates that we have made to OmniRota have come about as a direct result of suggestions from users. We’re always keen to hear your ideas for changing the system as more often than not, what’s useful for one user will also be useful to everybody else.
The system includes a support function. Any technical help or changes to staffing or rota rules can be sent to us via the support system and we will get back to you with an answer.
